Managing Users

Invite, manage, and remove users in Veezoo Admin - invitations, seat quotas, SSO provisioning, and board transfer for leaving users.

Admins manage the users of their organization in Admin > Users. This page covers how users join Veezoo (invitations, self-service signup, or single sign-on), how seat quotas work, and how to hand over a leaving user's boards.

The user list

Admin > Users shows all users of your organization, including each user's name, e-mail address, and user type: Viewer, Creator, or Admin. See Viewer, Creator, and Admin Users for what each type can do.

If your organization uses tenants (for embedded Veezoo), the list also shows the tenant each user belongs to.

Select one or more users and click Delete to remove them from your organization.

Inviting users

Click Invite to send e-mail invitations:

  1. Enter one or more e-mail addresses. You can paste a whole list at once - addresses separated by spaces, newlines, or characters like , ; : | are split automatically. Up to 100 users can be invited at a time.
  2. Choose the user type (Viewer, Creator, or Admin) for the invited users. The dialog shows how many seats are still available for each type.
  3. Click Invite. Each address receives an invitation e-mail with a link to create an account.

Addresses that are already invited or already in use are skipped and reported after sending.

The Invitations tab

The Invitations tab lists all pending invitations with their user type, creation date, and expiration date. From here you can:

  • Revoke an invitation by selecting it and clicking Delete. The invitation link stops working.
  • Resend an invitation by deleting the pending invitation and inviting the same address again, which sends a fresh e-mail.

In organizations using tenants, the Invitations tab also shows the tenant associated with each invitation.

Self-service signup

On deployments where self-service signup is enabled, users can create an account themselves without an invitation. They enter their e-mail address and confirm it via a verification link before the account is created.

Users via single sign-on

If your organization uses single sign-on, users don't need invitations: an account is provisioned automatically the first time a user signs in through your identity provider.

User attributes - such as the user type, name, roles, and tenant - are taken from the SSO token when the user signs in. See User attributes for how to map attributes from your SAML assertion or JWT.

Seat quotas

Your organization has a seat quota per user type (Viewer, Creator, and Admin). The Users page shows for each type how many seats are in use and how many are still available; pending invitations count towards the quota.

You cannot invite more users than there are seats available for the selected user type. If you run out of seats, contact Veezoo to increase your quotas.

Board Transfer

When a user leaves your organization, use Admin > Board Transfer to hand their boards over to someone else:

  1. Select the source user whose boards you want to transfer. Recently deleted users can also be selected, so you can still recover boards after removing an account.
  2. Review the user's boards. For each board you can see the Knowledge Graph it belongs to and how it is currently shared (with which users, roles, or the whole organization), so you can assess the impact before transferring.
  3. Select the boards to transfer, choose the target user, and click transfer.

The selected boards are moved to the target user, who becomes their new owner.
